Purchasing/Front Desk

Purpose of the Job:

This position will manage the entire purchasing/ordering process as well as function as the front desk greeter and receptionist for a fast-paced Lighting company. This role will require the candidate to manage and complete many tasks simultaneously and adapt to change quickly. Professional communication, time management and prioritizing tasks efficiently are key. Experience in a previous purchasing or an executive assistant role preferred!

Responsibilities:

Combines all purchase orders generated by the sales team and submits them to each manufacturer through our operating program, System 5

Ensures all orders are placed efficiently and cost effectively

Follows up on all orders placed per company guidelines and communicates delays, issues or back orders to the sales team when they arise

Acts as the direct liaison between the manufacturers and sales team

Negotiates price discrepancies or discounts with manufacturers

Manages and tracks all product replacement orders

Greets all walk-in customers and assists them with general lighting questions, checking the status of current lighting orders and retrieving orders that need to be picked up

Answers phones and checks voicemail

Manages customer pickups and deliveries and sends invoices to clients per company guidelines

Diligently follows up when AP invoices sent to ensure payment is received in a timely manner

Accepts and applies payments for invoices

Receives product when the Warehouse/Receiving Manager is not present

Communicates with Warehouse/Receiving manager to ensue all product is received as ordered and communicates any discrepancies or damages to manufacturers

Compose and send out comprehensive sales, purchasing and receiving reports daily

Requirements:

Strong computer skills including, but not limited to, Microsoft Outlook, Word, Excel and PDF editor- knowledge of System 5 a PLUS!

Experience creating and editing spreadsheets in Excel for ordering and invoicing purposes
Ability to communicate clearly and effectively both verbally and via e-mail
Willing to take on different responsibilities as needed and multitask efficiently
Excellent organizational skills and ability to establish priorities
Critical thinking and problem-solving skills
Able to work unsupervised and eventually make executive level decisions

EXTRA CREDIT:

Strong recall – ability to memorize or remember names and numbers easily will make you faster in this role!
